Field service software without per-user fees: how vendors count your team

The ServFlo team

Most field service software looks affordable on the pricing page. The number that matters is what happens when you hire. If the vendor charges for every person who logs in, each new technician raises your bill. If it charges by plan, the same hire costs nothing extra.

This guide looks at one thing only: how each vendor counts your team. It explains the four counting models, shows how eight vendors count based on their public pricing pages, and works out what a 5-technician and a 15-technician shop would pay. It does not cover total cost of ownership, add-ons or processing fees in depth.

Key takeaways

  • There are four common ways to count: per user, per technician, per route, and flat or by plan.
  • Per-user and per-technician pricing grow with your crew. Flat and office-user pricing stay level as you add technicians.
  • "Unlimited users" and "unlimited technicians" are not the same thing. Read which people are free.
  • Some vendors include a bundle of users, then charge per extra user or move you up a plan.
  • Always ask for the price at your size and at the size you plan to be in two years.

What does "per-user pricing" mean in field service software?

Per-user pricing means every person with a login counts toward the bill: owners, office staff and every technician in the field. The plan usually includes a set number of users, and each extra user is a monthly charge. It is simple and cheap when you are small, but your software cost rises with every hire.

The four models you will run into:

  • Per user. Everyone who logs in counts. Plans often include a bundle (for example 5 users), then charge per extra user.
  • Per technician. Only field technicians are counted, usually at a negotiated rate. Office staff may or may not be extra.
  • Per route. Common in route-based trades like pest control and lawn care. A route is a technician's schedule; crews that ride together share one.
  • Flat or by plan. The plan has a set price regardless of headcount, or it counts only office users and leaves technicians free.

Which field service software doesn't charge per technician?

Of the vendors below, Service Fusion includes unlimited users on every plan, and ServFlo counts only office users, with technicians unlimited and free on every plan. GorillaDesk charges per route, Jobber, Housecall Pro and Kickserv count technicians as users, ServiceTitan prices per technician, and JobTread counts crew who track time.

How do field service vendors count users?

Every competitor fact here comes from the vendor's public pricing page, as recorded on our comparison pages. The month we checked is in the table. Prices are monthly with no annual commitment.

A few details that change the math:

  • Jobber's Connect and Grow prices step up with the number of users included (1, 5, 10 or 15), then add $29 per extra user.
  • Housecall Pro lists an extra-user price only on Max. If you outgrow Essentials' 5 users, the published path is Max.
  • GorillaDesk's route prices differ by plan: on Basic, routes 2 and 3 add $50 each and route 4 and up add $30; on Pro each added route is $50; on Growth route 2 adds $100 and route 3 and up add $50 each.
  • JobTread is construction management for contractors and remodelers, not a general service dispatch tool, so its model fits project crews better than service routes.

What would 5 or 15 technicians cost?

These are examples, worked out from the published monthly prices above. They assume 2 office staff with 5 technicians, and 3 office staff with 15 technicians, every technician logging in and on their own route, and all field staff tracking time. They leave out taxes, card fees, texts and add-ons, and use each vendor's lowest plan that fits the headcount unless noted.

Vendor5 techs + 2 office (7 people)15 techs + 3 office (18 people)
Jobber Connect$199 (5 users) + 2 × $29 = $257$399 (15 users) + 3 × $29 = $486
Jobber Grow$299 + 2 × $29 = $357$499 + 3 × $29 = $586
Housecall Pro Max8 users included = $329$329 + 10 × $35 = $679

GorillaDesk Basic$49 + 2 × $50 + 2 × $30 = $209$49 + 2 × $50 + 12 × $30 = $509
GorillaDesk Pro$99 + 4 × $50 = $299$99 + 14 × $50 = $799
KickservRun, 10 users = $119Scale, 20 users = $199
JobTread$199 + 6 × $20 = $319$199 + 9 × $20 + 8 × $15 = $499
ServFlo Connect2 office users included = $129$129 + 1 × $35 = $164
ServFlo Grow3 office users included = $2493 office users included = $249

What the examples show:

  • Per-user and per-route prices rise by roughly 60% to 170% between 5 and 15 technicians. Jobber Grow goes from $357 to $586, Housecall Pro Max from $329 to $679, GorillaDesk Pro from $299 to $799.
  • Flat and office-user prices barely move. Service Fusion is the same at both sizes. ServFlo Grow is the same; Connect adds one office seat.
  • Bundles create steps. Kickserv stays low until you pass 20 users, and the next step is not published. Housecall Pro's Essentials stops at 5 users.

The cheapest number in the table is not automatically the right choice. Plans differ a lot in what they include, such as online booking, memberships, websites, job costing or an API. Compare the plan that has the features you need, at your headcount.

Is per-user pricing ever the better deal?

Yes. If you work alone or with one helper and do not plan to hire, per-user pricing can be the cheapest option, because you only pay for the logins you have. Jobber Core at $49 a month for one user is the same price as ServFlo Core. Per-user pricing also tends to come with low entry plans and a simple bill.

It stops being the better deal once technicians are the people you are adding. At that point the counting model matters more than the starting price.

Questions to ask any vendor about how they count

  1. "Who counts as a user?" Owners, office staff, technicians, helpers, subcontractors, part-timers?
  2. "Does a technician who only views their schedule count?" Some vendors treat view-only or photo-only staff differently.
  3. "What is the price for my team today, and at double the technicians?"
  4. "What happens when I pass the users included in my plan?" Is there a per-user price, or must I move up a plan?
  5. "Can two people share one login?" Usually not, and it causes problems with who did what. ServFlo, for example, allows each sign-in on one computer and one phone at a time, so a shared login keeps signing people out.
  6. "Is the price in writing, and for how long?"

How ServFlo counts

ServFlo counts office users only: owners, admins, dispatchers and office staff. Technicians are unlimited and free on every plan. Plans are priced by features and the number of office users included (Core 1, Connect 2, Grow 3, Pro 5), and each extra office user is $35 a month on any plan. Prices are published on the pricing page, and there is a 14-day trial of Grow with no card needed to explore.

That model suits owner-led shops that are adding technicians and want the software bill to stay level as the crew grows. If you are a one-person business that will stay that way, compare per-user tools too; the difference at that size is small. For other options and their pricing pages, see our field service software alternatives.

If you'd like to check the math for your own team, you can start a free 14-day trial or book a demo and bring your headcount and growth plan.
