Reports on the phone

Fill in reports on site in the ServFlo mobile app, even with no signal, then submit or publish them.

All plansAdd-on: Service reportsincluded on Grow and Pro

Technicians and inspectors can write the whole report on the phone, on site. Reports on your jobs and their comment libraries are saved on the phone, so you can keep working in a basement or a crawlspace with no signal. Your changes sync when you're back online.

Open a report

Open the job in the mobile app. Its Reports list shows each report with its progress. Tap one to open it, or tap Add a report to add one from a template (adding needs signal). See Add a report to a job.

The report's overview shows the cover photo (tap to take or change it), progress, the systems in order, Continue: to the next item not done, Add a section, and Review & publish (or Review & submit for technicians).

Fill in an item

Each item is one screen:

  • The template's statuses are big buttons at the bottom, within reach of your thumb. When a status needs a reason, pick one of the reason chips.
  • Describe fields show as chips, text or a number with its unit.
  • Defects are listed most serious first, with Limitations apart. Add one from the library, or tap Write it for me to have AI write it from your words (your keyboard's dictation works well) and up to three photos.
  • On a defect, Rewrite offers clearer, homeowner-friendly or shorter wording to use or ignore.
  • Previous and Next move through the items.

Tap + to add anything the template lacks: a photo, a defect that isn't in the library, an item, a section (detached garage, well, septic, pool…) or a describe field. Owners and admins can tick Also add to my template.

AI help needs signal. Without it, the app says so and you can write it yourself.

Snap a finding (photo first)

Tap Snap a finding, take the photo, and keep moving. The photo waits under Unsorted photos. With signal, ServFlo suggests which item it belongs to and what to write, with how sure it is (Likely, Possible or Unsure). Check the suggestion and tap File it, or Leave it unsorted for later. AI never files a photo for you.

Draw on photos

Tap Draw on a photo to add arrows, circles, boxes, freehand lines and text. The colours are the report's severities by name (Safety, Repair …), starting with the defect's own, then white and black for text; the client's report lists the severities you drew in under the photo. The photo itself isn't changed. Defects can also have short video clips.

Talk to the assistant

Tap the mic in the report's header to open the inspection assistant. Use your keyboard's dictation to talk.

Submit or publish

Tap Review & submit (technicians) or Review & publish. The checklist shows what Needs attention and what's worth a look, each with a Fix link. Technicians tap Submit for review so the office can check and publish. Owners, admins and dispatchers can publish from the phone; with open items they're asked to Go back and fix or Publish anyway. Publishing needs signal to finish: without it, it waits and goes out when you reconnect.

Show and share from the phone

From the report you can view the published report as the client sees it, preview the draft, open or share the PDF, and see Share & track (who has the link and when they opened it). Sending, adding people, revoking links and locking are for the office.

Have the client sign the agreement

If the release rule waits for a signed agreement, open Agreement from the report or the job. Hand the phone to the client: they read it, type their name and sign. It works offline and goes to ServFlo with signal. See Agreements.
