Customers overview
How customers, contacts and properties fit together in ServFlo, and where to find everything about a customer.
A customer is the person or business you work for and bill. Everything you do for them — jobs, quotes, invoices, payments, messages and memberships — hangs off their customer record.
Find your customers under Customers in the sidebar. The list shows each customer's phone, email, billing address, tags and balance. Use the search box (Search name, phone, email or address…) and the Status, Customer type, Lead source and Tag filters to narrow it down.
Key ideas
- Residential or commercial. A residential customer is a person. A commercial customer is a company, with a main contact person.
- Contacts. A customer can have several people attached, each with their own phone numbers, emails and roles (for example Billing or On-site). One of them is the Primary contact.
- Properties. A property is a service location — a house, a shop or a building. Properties belong to your business, not to one customer. A customer is linked to a property as its Owner, Tenant, Landlord or Property manager, from a start date. When a property is sold, you move it to the new owner and its equipment and job history stay with the property.
- Billing address vs. property. The billing address is where invoices go. A property is where the work happens. They can be the same address or different.
- Status. A customer is a Lead, Active, Inactive or Archived. A lead becomes active with their first job. Archived customers are hidden from the list and from pickers.
The customer page
Open a customer to see their page. A row of figures at the top shows their Balance, Lifetime value, Credit limit, payment Terms, Preferred tech and number of Jobs. Below that, tabs take you to each section:
Insights, Contacts, Properties, Equipment, Service history, Invoices, Payments, Quotes, Requests, Messages, Billing, Notes and Files.
Some sections only appear if your role can see them.
From the top of the page you can start a New job or New invoice, call or text the customer, and open More for Send portal link, Edit, Archive and Delete.
