Set billing terms, tax and credit limit
Set a customer's payment terms, tax exemption and credit limit, and understand their balance and lifetime value.
Each customer has their own billing settings. ServFlo uses them every time you create an invoice for that customer, so you don't have to remember who pays net 30 or who's tax exempt.
Change billing settings
Open the customer's billing
Go to Customers, open the customer, and select the Billing tab. In the Billing & preferences card, select Edit.
Open More options
Scroll down and open More options. The Billing & terms section is at the top.
Set the billing details
- Payment terms: Due on receipt, Net 7, Net 15, Net 30, Net 45, Net 60 or Custom. For Custom, enter the Days until due.
- Credit limit: the most this customer should owe you at once. Leave it empty for no limit.
- Tax exempt: turn on if the customer doesn't pay tax, and enter their Tax exemption ID if you have one.
Save
Select Save changes.
You can set the same details when you add a customer.
What each setting does
- Payment terms set the due date on each new invoice for this customer. You can still change the due date on an individual invoice.
- Tax exempt customers' invoices carry no tax. A Tax exempt badge shows next to the customer's name.
- Credit limit: when the customer's balance goes over their limit, the Balance figure on their page changes to Over credit limit and shows a warning. Warnings also appear when you book a job or create an invoice for them. They don't stop you — they're a prompt to collect payment first. The Credit limit figure shows how much of the limit is used.
Balance and lifetime value
These figures at the top of the customer page are worked out by ServFlo. You can't type them in.
- Balance is what the customer owes on invoices you've sent, less any payments. When everything is paid it says Nothing owed.
- If the customer has paid ahead — for example a deposit that isn't on an invoice yet — the figure is labelled In credit.
- Lifetime value is everything the customer has paid you, after refunds. Tips aren't counted.
To see the invoices and payments behind these numbers, use the Invoices and Payments tabs on the customer page.
Billing address and contact preferences
The Billing & preferences card also shows the customer's Billing address (where invoices are sent) and May contact by: whether you may email them, text them, and send them marketing. Change these from the same Edit form.
