Quotes

Turn a quote into a job or an invoice

Schedule the work from an approved quote, or bill it right away.

Once a quote is Approved, the quote page's main button changes to Convert to job. You can also bill the quote directly with Convert to invoice.

Convert to a job

Open the approved quote

Go to Sales → Quotes and open the quote. You can filter the list by Approved.

Click Convert to job

A dialog opens. It books the job at the approved total before tax, with the approved lines copied into the job's notes.

Schedule it

Choose the Date, Time and Technician (or leave it Unassigned), then click Create job.

ServFlo opens the new job. The quote becomes Converted, and the quote, job and any request it came from link to each other under Linked records.

Convert to an invoice

Use this when the work is done, or when you bill before you schedule.

  1. Open the approved quote.
  2. Click Convert to invoice. Before the quote has a job, it's in the ⋯ menu. Once the quote has a job, it's the main button.

ServFlo makes a Draft invoice with the approved option's lines and any optional extras the customer chose. If the quote already has a job, the invoice is linked to it. Any deposits collected on the quote move onto the invoice. ServFlo then opens the invoice so you can send it.

Converting needs an office role. Technicians who quote on site hand the approved quote to the office to convert.

Bill a big job in parts

For larger jobs, you can bill an approved quote in several invoices, by milestone or by percent complete. Look for the Progress billing panel on the approved quote. See Progress invoicing.

Make a new version

A decided quote can't be edited. To quote again, for example as a change order, open the ⋯ menu and choose Duplicate. ServFlo creates a new draft copy that you can edit and send.
