Quotes
Price the work, send it to your customer and get it approved and signed online.
A quote is a price proposal for work you haven't done yet. You build it in ServFlo, send it to the customer by email or text, and the customer approves and signs it on a web page, with no account or app needed. When they approve, you turn the quote into a job or an invoice in one click.
You'll find quotes under Sales → Quotes. Each customer's page also lists their quotes.
Key ideas
- Options. A quote can have one option (a plain quote) or up to five, for example Good, Better and Best. The customer picks one.
- Line items. Each option has its own lines. Type them in, or pick services and materials from your pricebook.
- Optional extras. Mark a line as optional and the customer can add it or leave it off. The total updates as they choose.
- Deposit. Ask for a percentage or a fixed amount when the customer approves.
- Customer link. Every quote you send has its own private link. Anyone with the link can view and answer the quote.
Quote statuses
| Status | What it means |
|---|---|
| Draft | Not sent yet. Only your team can see it. |
| Awaiting approval | Sent. The customer can approve it, ask for changes or decline. |
| Changes requested | The customer asked for changes. Edit the quote and send it again. |
| Approved | The customer (or your team, for them) approved it. |
| Converted | Approved and turned into a job or an invoice. |
| Declined | The customer said no. |
| Expired | The Valid until date passed before the customer answered. |

Once the customer has made a decision, the quote is locked as they saw it. To change it afterwards, use Duplicate to make a new version.
