Memberships

Billing and autopay

How memberships invoice each period and how members pay automatically by card.

Each membership bills itself. On the first day of every billing period, ServFlo creates an invoice with one line for the membership and its period, using your normal payment terms.

Draft or sent

By default, membership invoices are created as drafts so you can review them first. To issue them straight away, go to Settings → Membership plans and set New membership invoices to Sent (issued directly).

Either way, ServFlo doesn't email the invoice by itself. Send it or collect it the way you do any other invoice.

How periods work

  • Monthly, quarterly, every 6 months and yearly plans bill whole periods from the start date.
  • Weekly, every 2 weeks and every 4 weeks plans bill every 7, 14 or 28 days. If the term doesn't divide evenly, the last period is shorter and priced by the day.
  • Once per term plans bill once when the term starts.

A member who signs up mid-month pays a full period from their start date. Cancelling doesn't credit the unused part, and pausing doesn't extend the term.

Autopay

When you take online payments, a member can save a card and have every membership invoice charged automatically as soon as it's created.

  1. The customer opens their customer portal and clicks Set up automatic payments.
  2. They save a card on Stripe's secure page. Autopay is on.

Customers who join a plan online have autopay on from the start.

On the customer's page and the membership's page, the Automatic payments card shows the saved card. Click Turn off autopay to stop automatic charges and remove the card. The customer can save a new one from their portal.

Membership invoices for a customer with autopay on are charged to their card when they're created.

If a charge is declined, the payment shows as failed and the invoice stays open. Follow up with the customer or record their payment another way.
