Team

Roles and permissions

The five roles in ServFlo and what each one can see and do.

Each person in your business has one role. Pick the role that matches the job they do. You can change someone's role at any time, and changes apply within a minute.

The roles

RoleBest forWhat they can do
OwnerThe business ownerEverything, including the ServFlo plan, the card on file, extra seats and add-ons, and deleting the business.
AdminOffice managers, partnersEverything except the plan and card and deleting the business.
DispatcherOffice staff who run the dayCustomers, requests, quotes, jobs, the schedule, invoices and recording payments. No refunds, settings or team changes.
TechnicianPeople in the fieldTheir own jobs and day, in the mobile app or on the web.
MemberAnyone who only needs to lookRead-only: sees the work, but not payments, settings or the activity log.

Owner

Owners can do everything in the business. Only an owner can:

  • choose or change the ServFlo plan, add a card, and buy extra seats and add-ons
  • make someone an owner, or change or remove another owner
  • delete the business

A business can have more than one owner. The last owner can't leave until they make someone else an owner.

Admin

Admins can do everything an owner can, except the billing items and deleting the business above. They can see Settings → Billing and buy AI credit packs, invite people, change roles, change settings, issue refunds and run payroll.

Dispatcher

Dispatchers run the day-to-day work:

  • customers and properties, requests, quotes and jobs
  • the schedule and dispatch board, and assigning technicians
  • invoices, and recording payments (but not refunds)
  • memberships, inventory and expenses
  • the inbox, texting customers and calls
  • everyone's timesheets (approving them is for owners and admins)
  • most reports

They can see your settings and the team list, but can't change settings or invite people.

Technician

Technicians see only their own work:

  • their jobs and My day: status, notes, checklists, materials, photos, forms and signatures
  • service reports on their jobs (they fill them in; the office publishes them)
  • their own time, truck stock, expenses and commissions
  • the customers and properties they visit
  • quotes from the pricebook and payment on their own jobs, when your business allows it

What technicians may do at the customer's home is set under Technicians on site on Team → Members: Technicians can create quotes and Technicians can collect payment. Owners and admins can change these.

A technician needs a technician record linked to their account to see any jobs. See Give a technician app access.

Member

Members can look at the work (customers, jobs, the schedule, quotes, invoices, the pricebook and reports) but can't change anything. They don't see payments, settings or the activity log. New invitations default to Member.

Flo, the AI assistant

Every role can use Flo on plans that include it. Flo can only do what the person using it is allowed to do.
