Projects
Subcontractors
Keep your subs' papers up to date, record their bids and bills, track what you owe, and collect lien waivers.
Your subcontractors
Open Projects → Subcontractors to add a sub with their trade (Electrical, Plumbing, Drywall…), contacts, and papers: an insurance certificate, a license and a W-9, each with its number, expiry date and a scan.
ServFlo shows which papers have expired or expire within 30 days, and warns you before you put a sub with expired papers on a phase.
Bids, bills and payments
On a project's Sub payments tab:
- Bids: record a sub's price. Accept it to commit the amount (and put the sub on the bid's phase if it has none).
- Bills: record what the sub billed you. Bills count in the project's actual costs.
- Payments: record a payment you made (check, ACH, cash or card). ServFlo never sends money to a sub. Attach the lien waiver to the payment.
Each sub shows what was committed, billed, paid and is still owed.
A view-only link for a sub
Make a link gives a sub a page with the project's address, their phases and dates, and the files you shared with subs. They never see prices or your customer's details. Turn the link off at any time.
