What AI can see
How ServFlo keeps Flo and other AI inside each person's permissions, hides sensitive details, and records what AI does.
AI in ServFlo works under the same rules as the people in your business. Here is what it sees and what it can't.
Flo sees what you see
- Flo works as you, with your role. It can only look up what you could open yourself and only make changes you could make. A technician's Flo sees only that technician's jobs and their customers; a member's Flo can only read.
- Costs, margins and pay rates are left out of everything Flo reads unless your role can see them (owners and admins).
- Sensitive custom fields (gate codes, alarm codes, lockbox codes, medical notes) are always
hidden from Flo, as
••••, even when you're allowed to see them. Open the record yourself to read one. - Flo knows your business's name, your name and role, today's date and the page you're on. It doesn't read other pages or records until it needs them for your question.
Your chats are private
Your conversations with Flo are visible only to you: not to your owner, admin or anyone else in the business. You can delete any of them. See Saved chats.
Every change is on record
Flo never changes anything without your approval, and every approved change is recorded in Settings → Activity log under your name with the channel Flo (AI assistant). Changes made by an API key or a connected AI app are recorded as theirs, acting for the person they belong to.
AI that talks to your customers
- Website chat AI answers from the business details you give it. It never looks up customer records or quotes prices, and visitors are told answers may come from an AI assistant.
- The AI receptionist always tells callers the call is transcribed and never claims to be a person. Caller ID can be faked, so before it talks about someone's visits or account it asks for their full name and ZIP code. It only says prices if you allow it, and never your costs or margins.
- Drafts (website pages, review replies, campaigns, report findings) are written from your own ServFlo records and what you type. They never invent reviews, prices or offers, and nothing is sent until you send it.
Who provides the AI
ServFlo's AI features, including Flo and the AI receptionist, use Claude, made by Anthropic. The AI receptionist's speech (hearing and speaking on the phone) uses a voice provider you can see in Settings → Phone. ServFlo sends them only what the task at hand needs, within the limits above.
AI assistants outside ServFlo
When you connect ChatGPT, Claude or another assistant to ServFlo, that assistant reads your ServFlo data through your connection, under your permissions and the access you chose for it. What it does with that data is governed by that assistant's own terms. Sensitive actions still wait for your approval in ServFlo. See Use ServFlo from ChatGPT or Claude.
